Resources for Current Volunteers
The Volunteer Protocol outlines the requirements, procedures, and safety obligations for all individuals participating in activities with the Hikaroroa / Mt. Watkin Conservation Group (HMWCG). Its purpose is to ensure that all volunteers are well-prepared, adequately trained, and operating within a safe and supportive environment. Adherence to these protocols helps protect the wellbeing of volunteers, safeguard the environment, and maintain compliance with the group’s legal and funding obligations.
Due to the sensitive nature of some of the details in the protocol (eg, names and phone numbers), volunteers can only gain full access to the protocol from the Field Depot site during volunteer activities. However, the links below are useful before, during and after each volunteer activity.
Pre-volunteering Requirements
Before undertaking any volunteer activities, each volunteer must:
Read the Site-specific Safety Plan for the project and confirm, by signing a Volunteer Agreement, that they have read and understood their obligations.
Read and sign the HMWCG & DCC Volunteer Agreement. You must provide a hard-copy (or scanned version) to the project coordinator when undertaking any volunteer training.
Complete a Volunteer Information Form to provide emergency contact and relevant medical information.
Qualifications Please take photos and email to hmwconservationgroup@gmail.com any relevant qualification information for our records. These include:first aid certificates, CSL, Growsafe, firearms license or any other relevant qualification.
Overnight Trips Please review the volunteer resources guide for overnight trips, which includes a packing list. Any variations to these guidelines will be communicated prior to the trip.
During Volunteer Activities
Every time you volunteer:
Complete a VASA (Volunteer Activity Safety Analysis) form. This also acts as our equipment register.
Follow all Communication Procedures relevant to the activity type or work area. Full details can be accessed from the QR code at the Field Depot.
Operate only within the scope of your training and competency level.
After Volunteer Activities
Once the activity has concluded:
Submit an Hour Log for your activity for funding accountability records. Our funders and partner organisations (eg, DOC, DCC) require us to report on the number of volunteers working each month and total hours worked. It is very important that you document your time!
Complete the Post-Trip Checklist.
Report any hazards, incidents, or near misses as soon as possible (preferably within 24 hours).
Update the Training Register for any training received during the activity.
